Privacy policy

The short version

  • LetMeMeet records the meetings you send it to, and writes the transcript, notes and tasks for you.
  • We never sell your data, show ads, or train AI models on your meetings.
  • Google Calendar access is read-only, and only used to find the meetings to join.
  • The audio is deleted after 7 days; your transcript and notes stay until you delete them.
  • You can delete a meeting, or your whole account, at any time.

1. Who we are

LetMeMeet (“LetMeMeet”, “we”, “us”) is a meeting notetaker, run by its founder from India. This policy explains what we collect when you use letmemeet.com, why, who helps us, how long we keep it, and the choices you have.

For your account, we decide how your data is used (under India’s Digital Personal Data Protection Act we are the “Data Fiduciary”; under the GDPR, the “controller”). For the meetings you record, you decide what gets recorded, and we process those recordings to give you the service.

2. What we collect

Your account

Your name and email address from Google when you sign in, and your settings (time zone, theme, which meetings the notetaker joins, AI level).

Your Google Calendar, if you connect it

For each upcoming event: its title, start and end time, meeting link, organizer, and the names and email addresses of the people invited. See How we use Google data.

Your meetings

When the notetaker joins a meeting for you, it records the audio and turns it into a transcript: who spoke, what they said, and when. It also notes who joined (names, and email addresses when the meeting app shares them), plus the meeting’s title, link and times. You can also import transcripts you already have.

What we make for you

Meeting notes and summaries, decisions, action items, the cards on your board, the people and projects LetMeMeet remembers for you, a search index, and your conversations in Ask.

Payments

If you subscribe, Paddle (our reseller) takes your payment details. We receive your plan, subscription status, billing period, and Paddle’s customer and subscription numbers. We never see or store your full card number.

Technical data

A sign-in token so you stay logged in, when you last used LetMeMeet, how many recording hours you used, records of each AI run (which model, whether it worked), and standard server logs (IP address, browser, the page asked for) that help us keep LetMeMeet working and secure.

3. How we use it

  • To run LetMeMeet for you: send the notetaker, write transcripts and notes, fill your board, remember people and projects, answer your questions, and show your upcoming meetings.
  • To email you: your meeting notes after each meeting (you can turn this off in Settings), messages about your account and payments, and important changes to LetMeMeet. Now and then we may send product news; every such email has a one-click unsubscribe link.
  • To bill you and keep each plan’s limits.
  • To keep LetMeMeet secure and working: find and fix problems, and stop abuse.

We never sell your data, never use it for advertising, and never use your meetings or Google data to train AI models — ours or anyone else’s.

If you are in the EU or UK, our legal reasons are: to provide the service you signed up for (contract); your consent (connecting your calendar, product news), which you can take back at any time; our legitimate interest in keeping LetMeMeet secure and reliable; and the law (for example, tax records).

4. How AI is used

LetMeMeet uses AI models from Anthropic (Claude) and OpenAI to write your notes, build your board and memory, and answer questions in Ask. For each task we send the model only what that task needs: the transcript, the meeting’s title, who was invited, and what LetMeMeet already remembers for you. If we add another AI provider, we will list it here first.

We use these providers through their business APIs. Under their terms, they do not train their models on what we send, and they keep it only for a limited time (usually up to 30 days) to watch for abuse.

AI can be wrong or miss things. Check anything important against the transcript, which LetMeMeet links to for each point.

5. How we use Google data

What we ask for. Signing in with Google gives us your name and email address. If you connect your calendar, Google also gives us read-only access to your calendar events (the calendar.events.readonly permission). We cannot change, add or delete anything in your calendar, and we do not access your Gmail, Drive or contacts.

How we use it. Only to find your meetings that have a video link, send the notetaker to the ones you choose (every meeting, only the ones you organise, only those with people from outside your company, or only the ones you pick), show your upcoming meetings, and label your notes with the meeting’s title and the people invited.

How we store it. The calendar permission Google gives us goes straight to Recall.ai, the service that runs our notetaker, which reads your calendar for us. We never store that permission ourselves. We keep a copy of your upcoming events in our database, so you can choose which ones the notetaker joins.

Who we share it with. Only the providers that make these features work: Recall.ai, which reads the calendar, and our AI providers, which see a meeting’s title and the names of the people invited when they write your notes. We never sell Google data, never use it for ads, and never use it to develop, improve or train AI or machine-learning models. No person reads it unless you ask us to (for support), it is needed for security, or the law requires it.

Limited Use. LetMeMeet’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Taking it back. Press Disconnect in Settings, or remove LetMeMeet in your Google Account under Security → Third-party connections. Either way, we stop reading your calendar, Recall.ai deletes its access, and we delete the calendar events we stored. Deleting your account deletes everything.

6. Who we share it with

We use the services below to run LetMeMeet. Each one gets only what its job needs, and is bound by a contract to protect it.

Other LetMeMeet users in the same meeting. If two LetMeMeet users are in the same meeting, one notetaker records it and both get the transcript and notes. Your board, memory and Ask conversations stay private to you.

We may also share data if the law requires it, to protect people’s safety or our rights, or if LetMeMeet is sold or merged (we would tell you first).

7. Where your data goes

LetMeMeet is run from India. Our servers and most of the services above are in the United States; Recall.ai records and transcribes meetings for us in the European Union (Germany); Paddle is in the United Kingdom. When data about people in the EU or UK leaves those places, we rely on the safeguards the law allows, such as standard contractual clauses.

8. How long we keep it

  • Meetings, notes, board, memory and Ask: until you delete them, or your account.
  • Audio: we don’t keep our own copy. Recall.ai deletes the recording, and its copy of the transcript, 7 days after the meeting. Our transcript stays with your meeting.
  • Calendar events: while your calendar is connected.
  • Server logs: a short time, usually under 30 days.
  • Payment records: as long as tax law requires. Paddle keeps the invoices.
  • After you delete your account: it is removed from LetMeMeet at once; backups can hold it for up to 30 more days before they are replaced.

9. Your choices and rights

In LetMeMeet itself you can, at any time:

  • delete any meeting, and with it its transcript and notes
  • choose which calendar meetings the notetaker joins, or disconnect your calendar
  • stop the notetaker during a meeting
  • turn off the notes emails, and unsubscribe from product news
  • delete your whole account (Settings → Account)

You can also ask us for a copy of your data, to correct it, to delete it, or to stop using it for something you agreed to. Under India’s data protection law you can also nominate someone to act for you if you can’t. Write to hello@letmemeet.com and we’ll reply within 30 days.

If you are not happy with our answer, you can complain to the Data Protection Board of India or, in the EU or UK, to your local data protection authority.

10. People in your meetings

Many people in a recorded meeting don’t use LetMeMeet. To be fair to them:

  • The notetaker joins under the name “LetMeMeet Notetaker (recording)”, so everyone can see it, and someone in the meeting has to let it in.
  • The person who sends it must tell everyone and get any consent the law requires (see our Terms).
  • If a LetMeMeet user recorded you and you want that removed, ask them to delete the meeting, or write to hello@letmemeet.com and we’ll help.

11. Security

Everything travels over HTTPS, our providers encrypt stored data, and only the founder can reach the systems, with admin actions logged. No system is perfectly safe; if a breach affects your data, we will tell you, and the authorities, as the law requires.

12. Children

LetMeMeet is for people aged 18 and over. We don’t knowingly collect data from children; if you think a child has signed up, tell us and we’ll delete the account.

13. Cookies

We only use what is needed to keep you signed in and remember your settings, such as light or dark theme. No advertising cookies, no tracking, no analytics.

14. Changes to this policy

When we change this policy, we update the date at the top. If a change matters, we also email you before it applies.

15. Contact and grievance officer

For any question, request or complaint about your data, write to hello@letmemeet.com. Our grievance officer, the founder of LetMeMeet, reads that inbox. We answer within 7 days and settle grievances within 30 days.
